# n8n vs Make vs Zapier: choose by workflow, billing unit, and ownership

## Which automation platform fits a small team's workflow?

Start with the exact connectors and failure handling your job needs. Then compare the same workload: n8n plans use workflow executions, Make uses credits with module-dependent consumption, and Zapier counts billable actions as tasks with product-specific exceptions. These units are not interchangeable. Include maintenance and external AI/API charges before choosing.

## A workload example, not a price quote

Suppose 1,000 lead records each require three billable actions. A simplified Zapier estimate is 3,000 tasks if all three actions count at the standard rate. A Make scenario with three ordinary one-credit module runs per record is also 3,000 credits, before trigger checks, extra bundles, or AI charges. If each record starts one n8n workflow, the simple estimate is 1,000 executions. These are planning assumptions: inspect real run histories and current billing rules before purchasing. Equal-looking totals do not imply equal prices.

## Price the exception path

Run a duplicate lead, a missing email, an expired credential, and a rate-limited response. Check whether replay creates a second CRM record or sends another email. Record the manual minutes needed to diagnose and recover each case. A lower subscription can lose its advantage when one person repeatedly repairs errors. Compare monthly capacity value separately from cash savings: time released is not automatically money removed from payroll.

## A practical selection rule

Give each candidate the same input records, required output schema, and recovery deadline. Reject an option that cannot authenticate to a required system or reliably resume after failure. Among the remaining options, compare total monthly cost and owner time using measured usage. Prefer the setup the team can maintain after its original builder leaves. GPTNavi's comparison is a decision framework, not a hands-on performance ranking of these vendors.

## Proposed pilot

1. Replay 20 representative records and four failure cases in each candidate.
2. Record the actual billing counter, external API spend, and repair minutes.
3. Enter measured values in the ROI calculator; retain the run logs alongside the estimate.
